How to set up your Facebook and Instagram permissions correctly

This article will show you how to give people the permissions they need to connect Facebook Pages and Instagram Business Accounts to Gain. To learn more about Facebook Page access and roles, click here

Before you get started

You must be an admin of a classic Page or have Facebook access to a new Page to connect or disconnect your Facebook Page and Instagram account.

Business Suite vs Business Manager

Meta Business Suite lets small businesses and creators manage all their connected accounts across Facebook and Instagram in one place. On the other hand, Meta Business Manager is a powerful tool for managing your social media presence on both Facebook and Instagram. By granting permissions to Meta Business Manager, you can delegate access to other users or agencies to help you manage your social media accounts. Giving everyone on your team the appropriate access is needed to keep your accounts safe, but it's also vital to ensure third-party tools like Gain run smoothly. 

When you connect a Facebook Page or Instagram Business profile to Gain, Facebook gives us access to publish content on your behalf. To publish on your behalf, Gain needs a user access token that is obtained as soon as you authorize this access directly from the authorization screen on Facebook. The authorization screen lists all the information the third party is requesting to access. 

Important: Only Admins with Full control or users with an Admin role to a Facebook Page can authorize third-party access. 

Once you grant Gain access to publish on your behalf, Facebook generates a temporary access token that expires every 60 days or so. Any time the access token expires, a user with Basic access and Full control to manage a Facebook Page or Instagram profile is the only one who can reconnect Gain to renew the access token.

Not everyone who creates content for your business via Gain needs Full control or Admin access. At least one person in your Gain account needs to have Full control to connect the Facebook Page or Instagram profile to Gain and reconnect it from time to time when the permission (access token) expires. 

How to set up Meta Business Manager permissions for Instagram and Facebook

  1. Log in to your Meta Business Manager account and select your business.
  2. Click on "Business Settings"
  3. On the left-hand side of the screen, click on "People" and then click on the "Add" button.
  4. Enter the email address of the person you want to grant access to and select their role. Note: Basic access is replacing the employee role.
  5. Click "Next" and choose the Pages and Instagram accounts you want to give them access to. Ensure they have Full control both on Facebook Pages and Instagram accounts.

Once the user accepts the invitation, they will have access to the assets you granted them access to. You can also modify or revoke their access at any time by going back into your Business Manager settings.

When you access Page Settings via Facebook, if your Page is associated with a Business Manager, your Page Roles will look as shown below:

If your Page is not associated with a Business, your Page Roles will look as shown below:

Important: An additional requirement for all Business Manager accounts is two-factor authentication. People who don't set up two-factor authentication might be unable to access your Business Manager until they turn on two-factor authentication for their personal Facebook account
