How to Set Up Your Facebook & Instagram Permissions Correctly for Publishing in Gain
This guide explains the exact steps to verify and correct your permissions, ensuring a successful connection of your Facebook and Instagram accounts to Gain. This allows your content to be approved, scheduled, and published through Gain.

1. Overview
To schedule and publish content through Gain, you must ensure that:
- Your Facebook Page has the correct admin-level access for the person connecting it.
- Your Instagram Account is a Professional account (Business or Creator).
- Your Instagram and Facebook pages are correctly linked.
- The user connecting the accounts to Gain has the required permissions inside Meta Business Manager or Page Access settings.
- Recommended: Two-factor authentication (2FA) is enabled on the profile used to connect the accounts.
2. Understanding Meta’s Permission Models
Meta currently has two types of Facebook Page experiences. The permission settings differ slightly depending on which one you have.
A. Classic Page Experience
If your Page still uses the classic interface:
- You’ll see Page Roles such as Admin, Editor, Moderator, Advertiser, and Analyst.
- To connect to Gain, the user must be an Admin of the Page.
Requirement for connecting the channel to Gain:
✔ Admin role on the Facebook Page
✔ Instagram account linked to the Page
✔ 2FA enabled on the user’s profile (Recommended)
B. New Pages Experience
If your Page has the newer Meta layout:
You will see Page Access, not “Page Roles.”
Permissions appear as:
- Facebook Access – Full control
- Facebook Access – Partial control
Task Access
Requirement for connecting the channel to Gain:
✔ Facebook Access → Full Control
✔ Instagram account linked to the Page
✔ 2FA enabled on the user’s profile (Recommended)
Users with only task access or partial control cannot connect the Page to Gain.

Note: To check which Page experience you have, open your Page → Professional Dashboard → look for “Page Access.”
3. Verify Your Facebook Page Permissions
If you have a Classic Page:
- Go to your Facebook Page.
- Click Settings (left menu).
- Go to Page Roles.
- Confirm that the person who will connect the account to Gain is listed as Admin.
If you have the New Pages Experience:
- Open your Page.
- Click Settings → Page Access.
- Under People with Facebook Access, confirm you have Full Control.
- If you see only “Task Access,” ask an Admin to upgrade your access.
If your business uses Meta Business Manager, continue to the next section as well.
4. Verify Permissions in Meta Business Manager (If Applicable)
If your Business Manager owns the Page, you also need to make sure the person who will connect the account to Gain has access there.
- Go to business.facebook.com → Business Settings.
- Under Accounts → Pages, select your Page.
Under People, confirm the user has:
✔ Full Control (for New Pages)
✔ Admin access (for Classic Pages)
If not, assign the correct permissions.
5. Set Up Your Instagram Account Correctly
To publish to Instagram automatically via Gain, the account must meet all of the following:
✔ The account must be an Instagram Professional Account
You can check by going to Instagram → Settings and Privacy → Account Type.
Select 'Switch to Professional Account' if needed.
✔ The Instagram Professional Account must be linked to your Facebook Page
To confirm:
From the Instagram app
- Go to your Profile.
- Tap Edit Profile.
- Under “Page,” verify it is linked to the correct Facebook Page.
- If not, link to the correct Page.
From the Facebook Page
- Open Page Settings.
- Click Linked Accounts or Instagram.
- Ensure the correct Instagram account appears.
Notes:
- Only one Instagram account can be linked to a Facebook Page at a time.
- If the wrong Instagram account is linked, remove it and link the correct one.
6. Connect or Reconnect Your Accounts to Gain
Once permissions are correct:
- Go to Gain → Settings → Social Channels.
- Click Add Channel.
- Choose Facebook Page or Instagram Business.
- Log in to the Facebook profile with Admin / Full Control.
- Accept all permissions (very important).
- Follow the prompts to complete the connection.
To reconnect an existing channel:
- Go to Gain → Settings → Social Channels.
- Click on the channel that needs reconnection.
- Click on Reconnect Instagram account.
7. Token Expiration & Best Practices
When you connect a Facebook and/or Instagram account to Gain, Meta issues a 60-day access token. After 60 days, the account will need to be reconnected to Gain.
To avoid disruptions:
- Choose a team member with Full Control/Admin who will stay with the company long term.
- Enable two-factor authentication (2FA) on that user’s Facebook profile.
- Reconnect the account as soon as Gain notifies you. (You will receive an email, as well as a notification inside Gain.)
- If the person who connected the account leaves your team, transfer Admin/Full Control to someone else and have them reconnect it immediately.
8. Quick Permission Checklist
Before attempting to connect your social accounts to Gain, make sure that:
For your Facebook Page:
- The user is Admin (Classic)
- OR the user has Full Control (New Page Experience)
- If the Business Manager owns the Page, make sure that the user has correct permissions there too.
- Two-factor authentication is enabled.
For your Instagram Account:
- Account is Professional
- The correct Instagram account is linked to the correct Facebook Page
- The Instagram account is assigned to the same people/business as the Page
9. Troubleshooting Tips for Agencies & Large Teams
If multiple people manage the same Page:
- Assign the connecting and reconnecting responsibility to one person who has Full Control.
- Avoid connecting with personal accounts that may lose access later.
- For Clients, ask them to add your agency to their Business Manager before trying to connect to Gain.
- If everyone works in different regions/time zones, ensure language/locale settings match — Meta sometimes restricts access if the system detects unusual login patterns.
